Terms and conditions
The terms for using this website, and for working with Admin Society.
About these terms
These terms apply when you use this website, and when you engage Admin Society for bookkeeping, BAS or administration services.
Admin Society is run by Georgia (Georgie) Charles, a Registered BAS Agent (registration number 26212390), from Geelong, Victoria. In these terms, “we”, “us” and “our” means Admin Society, and “you” means the person or business using this website or our services.
If we’ve agreed a proposal, engagement letter or service agreement with you, it sits alongside these terms. Where the two say different things, the agreement we’ve made with you applies.
Using this website
The information on this website is general information about our services. It isn’t financial, tax or legal advice for your circumstances, so please talk to us, or another qualified adviser, before relying on it for a decision.
We try to keep this website accurate and up to date, but things change, and we can update or remove anything on it at any time.
This website links to other websites, such as the Tax Practitioners Board’s. We don’t control those websites and aren’t responsible for what they say.
The words, images, logo and design of this website belong to Admin Society or are used with permission. Please don’t copy or reuse them without asking us first. Sharing a link is always fine.
Our services
We provide bookkeeping, BAS and IAS lodgement, payroll and superannuation processing, and business administration, as set out on our Services page and in the package or proposal you choose.
As a Registered BAS Agent, we can lodge your BAS and IAS and advise you on the tax matters they cover. We don’t prepare income tax returns or give income tax, financial product or legal advice. For those, we’ll work with your accountant or another adviser.
We provide our services with due care and skill, and in line with the Code of Professional Conduct that applies to registered BAS agents.
What we need from you
To do the work well, we need:
- complete, accurate records and information, in time for us to meet your deadlines
- access to the software, accounts and documents the work needs
- answers to our questions, and a heads-up when something in your business changes
- your review of anything we prepare for lodgement, and your approval before we lodge it with the ATO, as the ATO requires
You stay responsible for your business’s tax obligations, for paying any amounts owed to the ATO, and for keeping your business records for at least five years, as the ATO requires.
Fees and payment
Our fees are set out in the package or proposal you’ve agreed to. Unless we’ve told you otherwise, invoices are payable by the due date shown on them.
Work outside your package, such as catching up on old records, is quoted or charged at our hourly rate, and we’ll agree it with you before we start.
If an invoice is overdue, we may pause work until it’s paid. We’ll always tell you before we do.
We’ll give you at least 30 days’ notice in writing before we change our fees.
Confidentiality and privacy
We keep your information confidential. We won’t share it with anyone without your permission unless the law requires us to, which the Code of Professional Conduct also requires of us.
Our Privacy Policy explains how we collect, use and store personal information.
Our obligations as a Registered BAS Agent
We’re registered with the Tax Practitioners Board (TPB) and must comply with the Tax Agent Services Act 2009, including its Code of Professional Conduct. As the TPB requires, we hold professional indemnity insurance.
You can check our registration on the TPB register. If you have a concern about the BAS services we provide, please tell us first so we can put it right. You can also make a complaint to the TPB.
Software and other providers
We work in the software you use, such as Xero, MYOB or QuickBooks. Unless we’ve agreed otherwise, your software subscriptions are in your name and you pay for them.
We aren’t responsible for outages, errors or changes in software or services we don’t control.
Liability
Nothing in these terms excludes, restricts or changes any rights you have under the Australian Consumer Law, including the guarantee that our services will be provided with due care and skill.
To the extent the law allows, if our services don’t meet a guarantee, our liability is limited to supplying the services again, or paying the cost of having them supplied again.
We aren’t responsible for loss, penalties or interest that result from records or information that were incomplete, inaccurate or late when you gave them to us, or from instructions you gave us.
To the extent the law allows, we aren’t liable for indirect or consequential loss, such as lost profits.
Ending our arrangement
You or we can end our arrangement by giving 30 days’ notice in writing, unless your agreement with us says otherwise. We may end it sooner if continuing would mean breaching the law or our professional obligations.
When it ends, we’ll finish or hand over any work in progress as we agree with you, return your records and remove our access to your systems. You pay for work done up to the end date.
We keep copies of records for as long as the law requires, as our Privacy Policy explains.
If something goes wrong
If you’re unhappy with anything we’ve done, please tell us first. We’ll look into it and try to put it right with you.
If we can’t sort it out together, you can contact the TPB about our BAS services, or the Victorian Small Business Commission, which helps businesses resolve disputes.
Changes to these terms
We may update these terms from time to time. The version on this website applies from the date it’s published. If you’re a current client and a change affects you, we’ll let you know in writing.
Governing law
These terms are governed by the laws of Victoria, Australia.
